How to add your work schedule to iPhone Calendar

A schedule photo is a picture, not a set of calendar events. First turn the shifts into dated events, either by entering them manually or by preparing a reviewed calendar file. An ICS file is a snapshot: it does not watch your employer's schedule for changes.

Before you add anything

Check the worker, the actual week-start date, every start and end time, and the time zone of the workplace. If a shift ends after midnight, check its end date too. Ask your manager about missing dates or unclear codes rather than guessing. Keep the original schedule available while you review.

Use a separate work calendar if that helps you find imported events later. Avoid a shared calendar unless you intend the people with access to see your shifts. Decide whether you want an alert; adding an event is not proof that a reminder is configured.

Import a reviewed ICS file

Apple's iPhone guide documents importing an .ics file from Mail. It separately describes subscribing to a calendar URL; a downloaded file is not that subscription. Apple's account and calendar guide.

  1. Save the reviewed .ics file. Do not import it repeatedly while troubleshooting.
  2. If you choose to use email, attach the file to a message to yourself. Remember that the attachment contains your shift information and will be handled by your email provider.
  3. Open the message in Apple's Mail app on your iPhone, then open the calendar attachment. Follow the import options actually offered by your device. Button wording and available choices can vary; stop if you only see a preview.
  4. Open Calendar and check the destination calendar and imported events. Compare the first shift, last shift and any overnight shift with the original. Check every event before relying on the week.

This is a documented route, not a guarantee that every browser, email app, account or OS version will expose the same import controls. Shiftpup's web tool prepares a file; it does not write directly into your calendar or confirm the import.

If the attachment only previews

Check that the filename ends in .ics, that you opened it in Apple Mail, and that it contains the reviewed events. Do not buy another app just because one route did not work. You can enter a few shifts manually, or use a Mac if one is available.

On Mac, Apple documents Calendar → File → Import, selecting the ICS file, then choosing the destination calendar. If you use an account that is also enabled on iPhone, check the events on your phone afterward. Apple's Mac import guide. Do not import a whole calendar archive: that is a different operation.

For a Google Calendar destination, Google documents ICS importing on a computer through Settings → Import & export, selecting the file and destination calendar. Then check the calendar on your phone. Google's import guide.

If events are missing or at the wrong time

Make sure the destination calendar is visible in Calendar. Inspect an event's full date and time before changing it: travel or display settings can change the clock time you see. Compare against the workplace's time zone. If the exported file is wrong, correct the reviewed shifts first. If you imported twice, identify the duplicate entries before deleting anything.

When next week's schedule arrives

Import next week's reviewed events once. If this week's schedule changes, compare the changes with the events already added; a new file does not automatically replace the old one. Use our revised-schedule guide for a safe update checklist.
